Epiphany Implements a Speedy Upgrade to Help Customer’s COVID-19 Related Issue

At the end of April 2020, the Hospital for Special Surgery (HSS), NY, required an upgrade for their Cardio Server system as well as the addition of Cardio Server Mobile. The orthopedic hospital contracts out some of their cardiologists and services for reading ECGs. With COVID-19, those physicians were needed onsite more frequently.

We spoke with Ben Aheto, IT Director of Clinical Applications, and Alex Boudreau, Analyst II, Clinical Applications, at HSS about Epiphany’s response and installation time. 

Ben Aheto commented, “When we first gave you guys our timeline, you thought we were crazy. Based on experience we had with Epiphany the first go-round, we were confident that the timeline would work if we prioritized the project and kept close communication. We planned for four weeks, but we actually had a week or two to spare! It was pretty seamless - the test scripts were useful. They covered just about everything out of the box. We only added a couple custom things. It was very thorough.”

Ben added that Cardio Server Mobile has helped their workflow, especially in the context of COVID-19. “Enabling the cardiologists to be able to read from wherever they are is helpful. In general, with staff being more mobile, it provided more accessibility in terms of reading, which means quicker reads and results. We’re not limited to a desk to read ECGs.”

When asked what advice they would offer other hospitals that might be having the same issues, Ben said, “We were not having problems with Epiphany beforehand. The timeline was due to COVID-19.” Alex added, “If we were to identify a problem, it would be that the cardiologists were tethered to their computers. With COVID, we’ve actually had cardiologists on site more frequently and they aren’t in front of their computers. If they are going to spend more time on site, they are going to need to read remotely.”

Alex added that there were other benefits included with their upgrade besides the addition of Cardio Server Mobile. “We now have a better ability to see the communication between Epiphany and our EMR (Epic). Within Epic, the ability to see what the HL7 messages look like on Epiphany’s end and Epic’s end is valuable from an IT perspective to help monitor.”

Sales did an excellent job engaging us from the first conversations with the customer. The prep work speaks volumes for the project timeline. Prior to receipt of the purchase order, HSS was prepped with resource needs, a project plan, testing plan, and all expectations thanks to well-coordinated communication from sales. Way to go Karen and Allison!

The customer took the request and our needs seriously. Upon project-team assignment, Bob, Nicole, and Tammy engaged the customer and were able to begin work right away. This allowed for immediate testing, sign-off, and approval of the upgraded version for go-live. THANK YOU Bob, Nicole, and Tammy for an outstanding job! You made this a priority and worked extra hard to assist the customer with a rapidly aggressive timeline.

Epiphany Healthcare’s COVID-19 Novel Coronavirus Response Plan

From the Desk of the President:

The majority of Epiphany Healthcare’s staff already works remotely. As of today, all employees will be working from home. Business travel is suspended during this outbreak. Many hospitals have notified us that vendors should not be entering their facilities.

Project implementation and customer support have always been provided remotely. Our clinical training staff will provide web-based training for our customers. We have extensive experience doing remote training. On-site retraining will be available, if requested, when travel normalizes. 

The sales team does the majority of their work remotely including web demonstrations and proposal reviews. Sales team members will not be scheduling on-site meetings. They can provide video conferencing when requested.

We will be social distancing, washing our hands frequently, using hand sanitizer, and working hard to keep our families safe. We live on conference calls and email. We will continue to communicate diligently and often. These travel restrictions will have a minimal impact on our organization; we will do our best to continue to support our customers and those interested in our products. All of us at Epiphany wish you the best during this difficult period.
